SCSB UI provides certain basic reporting functionalities under the Reports tab. This would be used by both partner’s staff and the ReCAP staff to keep a tab on movement of items as part of circulation and cataloging. The Reports tab is not protected and will be available for all users of the SCSB system.
Clicking on the Reports tab would open up a page where the user would be expected to select the type of report. Currently, SCSB provides users with reports on Request, Accession/Deaccession, item count under each Collection Group Designation, Incomplete Records, Request Exceptions and Transactions Report.
On choosing the Request radio button, the user is presented with a Show By drop down and two date pickers where a date range can be specified. The Show by drop down has two options - Owning Institution and Request Type.
On the Show by Owning Institution report under request, with valid date range, the report generated is a grid with the Physical and EDD shown as two main rows and the partner institutions in the three columns. The Physical and EDD rows are further broken up into Private, Shared and Open to Self and Shared and Open to Partner. The Shared and Open to Self signifies the items that belong to Shared and Open Collection Group Designation (CGD) that are lent to the institution's own patrons. The Shared and Open to Partner signifies they items that belong to Shared and Open CGD that are lent to the institution other than their own. The numbers denote the count of requests that came in for the partners’ items.
On the Show by Request Type report under request, the user is presented with a report that breaks up the count based on the request types, viz. Retrieval, Recall and EDD across the Four partner institutions over a valid date range. The count of Recall is not part of the total since Recall requests are not retrieved until the items are refiled.
Clicking on the Accession/Deaccession radio button, the user is presented with two date pickers to specify the date range. After picking the dates and clicking on Generate Report, the user is presented with a grid with the total number of items that has been accessioned and deaccessioned across different Collection Group Designations across partners. The subtotal count under Deaccessioned is a hyperlink that opens up to show the items that have been deaccessioned during that period.
On clicking on the hyperlinked count, it opens up a table with Date on which the title was deaccessioned, Title of the deaccessioned bib, Owning Institution, Item Barcode, Collection Group Designation, Deaccession Notes and the user by whom the item was deaccessioned.
Clicking the Collection Group Designation (CGD) radio button under the Reports tab in SCSB opens up a grid with count of items under each CGD across the partners. The counts given are real time and as on date and time.
Clicking on the Incomplete Records radio button, the user is presented with a Show By dropdown where the user can pick a partner institution. Incomplete records are those bibliographic records that were found lacking critical information such as Collection Group Designation and Use Restriction. Also if the ILS of the partner institution doesn't respond with a valid bib record when GFA calls the Accession API, SCSB records the data as an incomplete record with title and author as dummy. The incomplete records are to be made complete by the partner institution by using the Submit Collection API to edit the data. The incomplete records can also be exported as CSV file for processing using the 'Export Records' button at the bottom right corner.
Clicking on 'Request Exception' radio button, User is presented with a 'show by' dropdown where User can pick the Institution and then selects the Date range to Generate Report. This Report shows the Request entries which did not got completed because of some error or exception. The error message is shown under 'Request Notes' column so that User gets to know the reason of Request that didn't went through successfully.
